Back when I started investing in real estate, I had stacks of papers all over my desk, post-it notes stuck all over the place, and folders piled with leads that I had no way of differentiating who was what. I spent a great deal of time looking at all of the options… but I couldn’t find anything that was practical and easy to use, so I just decided to build it myself.
Before I decided to dedicate my time fully to my Real Estate Investing business, I spent nearly a decade in the Information Technology field. I worked as a software developer on projects for companies that include Verizon and Eli Lilly Pharmaceuticals.
So, with my years of programming experience, and a determination to find a prospect management solution for my business — I decided to build myself a software solution that would allow me to manage my prospecting more efficiently, and help keep ahead of the competition.
This of course was not the best use of my time, but I cannot tell you how frustrated I get with inefficiencies. I understand that although the concept is similar in all of our investing businesses, you and I may use different information and techniques to determine how we acquire our properties. So I have provided the ability for you to create up to 20 custom user defined fields to store information about your prospects that’s specific to your investing business needs.
For example, if you are primarily a foreclosure investor, then you may want to keep track of the court case number, or the bank name of the foreclosure. In this case you can create these as custom fields on the prospects form to store this information in. These new fields are then searchable, can be imported into, and will be dynamically printed on the prospect detail report.

Organize prospect records by categories to efficiently find your information
Create an unlimited number of categories to group your prospects in a way that allows you to efficiently find the information that your looking for. You can add, move and delete prospects from and within categories. You can also automatically merge and print a letter, or generate labels for all prospects within a category.
For example you may want to add a particular prospect to a category called "Multi-Family Properties". If this prospect is also in foreclosure, you can add them to the "Foreclosures" category as well. Now you can find this prospect in either category depending upon what your working on.
You can also group letter templates by categories. You may have a different letter for each type of prospect that you’re following up with. Like for example the letter that you use to follow-up with foreclosure properties, may be different than the one you send to properties with back taxes due. You can organize your letters along with the prospects in these categories for easy access when your working on a particular category.

Find Prospects by ANY information using the advanced search feature!
Included in RealProspect™ is a powerful search feature that will allow you to search for prospect records by virtually any information that you have collected about them.
If you used a system of folders to organize your prospects, trying to intelligently search through them would be insanity. Let’s say you find a buyer that is looking for a particular size house, in a specific area, in a certain price range. Now, you know you have talked to a seller with a house that meets this buyers needs, but you just have to find that file. What kind of logic could you use to anticipate this?
How could you go about organizing your folder system to provide this functionality? This makes my head hurt just thinking about it!

Once you have generated your desired search results, you can print a wide line report of the results, print mailing labels for the results, or merge and print the results list with a letter template. You can also view the details of any of the prospects by clicking on one of them in the search results list.
Now, let’s go back to that scenario with the buyer who is looking for a specific type of property. With the RealProspect™ search feature, you could create a list of prospects that meet your buyer’s needs, and barrage them with a personalized direct mail marketing campaign until you get a seller to say YES… Then put the deal together and celebrate!

After you have created your letter templates, with a few quick mouse clicks, all of your follow-up letters can be personalized for your prospects effortlessly, saving you an enormous amount of time.

This one feature alone can save you enormous amounts of time by setting up predefined mailing campaigns to automatically schedule and track your prospect mailings and notify you when your mailings need to be processed. With the RealProspect™ "Campaign Manager" feature you can create multi-step mailing campaigns and define what letters have to be sent in any order you choose, at any day interval.
So, if you have a 5 step mailing campaign that you are sending to a specific list, for example a pre-foreclosure list. And let’s say you want to send one letter every 5 days to each prospect on the list. You just create your letter templates for each of the 5 letters, then setup a mailing campaign and define each of the 5 steps to send a letter every 5 days. Then all you have to do is import your list, or enter the prospects and the Campaign Manager will keep track of which letters to send to what prospects, and automatically notify you to merge and print the letters when a mailing is ready to be processed.
When a campaign mailing is ready to be processed, you simply click on a button to merge and print all the personalized letters for the prospects in the list, then advance the prospects to the next scheduled campaign mailing. You only have to create your campaigns once, then all you have to do is add prospects and this process will happen automatically saving you hours of time from manually tracking the mailing process and trying to organize lists.

Easily Import Prospect Records from Just About Any Mailing List Provider!
The only way to use direct mail marketing to locate motivated sellers is to find a mailing list to send your letters or post cards to. And there are many list providers for us as real estate investors to choose from.
For example one of the largest list providers for our real estate investing is RealQuest. Or, you can do a quick Google search and find foreclosure list providers and other specialty list providers in your area. In fact, you can probably get your mailing list right from your county tax assessors office for most of your mailing campaign needs.
Once you find your desired list provider, you will almost always get this list in a format called comma separated values, otherwise known as a "CSV" file. These CSV files are a standard format that almost everyone uses, and most database programs can easily understand.
RealProspect has a simple to use Import Wizard that will guide you through the few easy steps to import your mailing list. Then you can quickly assign these new records to a mailing campaign, or merge and print a personalized letter for them… all in literally 5 minutes or less!
Print reports for Prospects, Activities, Buyers, and Search Results!
If you’re going to enter in all of this information, you’re going to want to get it out somehow in a logical and legible format… wouldn’t you agree? So, I’ve created a group of reports that will give you the control over your information so you can quickly print to analyze it, or hand to other people to work from.
For example, I will use the search feature to create a report of all of the prospects that I want to get comparables for. Then I give it to someone to go to the county tax appraisers database and pull up the comps and enter them into the database for me.
RealProspect™ provides a prospect record detail report that is divided up into multiple printable sections: Property information, Contact information, Financial information, Offers, Comparables, Contact history, Contact next actions (follow-ups), Notes, and Pictures. You’re able to add and remove these sections to customize the prospect detail report to meet your specific needs.
So, if you wanted to provide your lender or partner with information about a particular prospect, then you could print out the property information section, the financial section, and comparables section. Now you have a professional looking report to hand them that includes only the information that they need to make decisions.

I mentioned that I spent nearly a decade in the computer consulting and information technology field.
